Manage a Work Order from the Desktop Version

This module enables you to manage work orders and related information, generate a Full Work Report automatically at the end of each project. The data entry control features guarantee that no mandatory signature, part certificate or related file is missed or incorrect at each stage of the maintenance and all these are included into the final report. 

Manage your project scheduling and technicians rostering via a designated planner, quickly get a view of parts, tools and materials allocation to improve workflow and quality control.





In the main ribbon, select a time range, click either on ‘Only Open’ or ‘All Status’ and click on ‘Refresh Data’ (icon).



Select a work order.

The dashboard on the right part of the screen allows you to see at one glance the work progress, the status of the findings and material requests, the tasks remaining, and the resources allocation.




Open the ‘Job Cards’ tab to see all the job cards and the related information.




You can add related files if needed and state if they need to appear on the report in the ‘Related Files’ section on the right.




Open the ‘Findings’ tab to see all the findings of the selected work order.

You can add findings by clicking on the ‘plus’ button of the panel  and link it to a job card thanks to the 'Job Card' field in the 'Finding' panel on the right (select a job card from the drop-down menu).

You can set findings as done by clicking on this button (icon).

You can cancel findings by clicking on this button .

You can reset findings by clicking on this button .

You can delete findings by clicking on this button (icon).

In the ‘Finding’, ‘Action Required / Corrective task’, ’Materials required’ and ‘Related Files’ sections on the right you can find and manage the finding information, the action required, the material required, and the related files related to the selected finding.

If needed, you can link the finding to a task by opening the 'Quotations' module, displaying the 'Finding' column in the 'Quotation Content' panel, switching to edit mode and selecting a finding as shown below.




If you open the ‘Communications’ tab, you will be able to add communications, either internal ones or shared with customers.

You will be able to add , validate (icon), cancel , reset or delete (icon) communications.





Open the ‘Materials and Services’ tab to manage the requests (more information in the 'Inventory' article, in the 'Material Request section or in the 'W/O items booking' article).




Open the ‘Parts and Tools’ tab to see the badged tools, the parts fitted and removed.




For the work orders that have been signed, you can open the ‘CRS / Form 1’ tab to see the CRS or the Form 1.




Once the work is completed, the status of the work order is ‘Ready to be closed!’, the work progress is 100% and the CRS is signed, you can export a full work report and upload it in the related files.

You can click on ‘Export full work report’ (icon). Please note that when a project contains more than 250 job cards, the work report will be divided into several documents not to exceed the capacity of the RAM of your computer and avoid the ‘out of memory’ error.




If you click on ’Preview’, you will be able to automatically generate a report with the information of your choice.

Select the appropriate options in the ‘Work Report’ and ‘Financial Report’ sections on the right and click on generate.





Add a Part Fitted To a Work Order

We are going to see how to add a part to the fitted part list of a work order from the desktop version of Blue MRO.

This is usually made via the iPad app (as explained in the 'Scheduled Work' article) but, in case of necessity, it can be done using the desktop version.

First, look for the corresponding outgoing move in Blue STOK, in ‘Inventory Moves (GRN)’ module, and take note of the GRN number.




Then, open the 'Work Orders' module and select the work order that is subject to changes, open the 'Parts and tools' tab and switch to edit mode.

(Either the work order is open, like in this example, or it is closed and you can re-open it by clicking on the 'Re-Open W/O' button in the main ribbon).




Click on the plus button  of the 'Part Fitted' panel and enter the GRN number in the appropriate cell of the new line.




Select the right job card pointed out by its position.



Click on ‘Save’ .

Close the Work Order to generate a corrected work report.





Assign Technicians

If you want to start working on the iPad there is one thing to do. Assign at least one technician.

When you have one work order selected, you have to click on the “assign resources” button in the main ribbon.


Here you get the timeline of your work order that can be modified if needed.




You can switch to edit mode and select the technician and drag and drop it from the 'Staff' section to the grid, click ok.

If you want to set a recurrence, click on recurrence.




Set the recurrence by filling in the different fields.




In any case, as soon as one technician is assigned, on the iPad, the rest of the technicians can tap on this technician’s box to retrieve the work order, and then when they badge, it is their experience and their signature that will be on the task.
